Tent hire Cape Town › What We Need On Site
What We Need On Site
None of this is complicated, but getting it wrong on the day costs hours. What the ground is, whether a vehicle and trailer can reach the spot, how much clearance the guy ropes need beyond the fabric, when the venue opens, and where the nearest power is for lighting. Five minutes now saves all of it.
What we need from you
None of this is complicated, but getting it wrong on the day costs hours. Five minutes now saves that.
Ground
Tell us the surface: grass, paving, gravel or a mix. Grass takes pegs and is the quickest and cheapest to anchor. Paving and concrete need ballast weights, which means more kit, more crew and more cost — and if we only discover it on arrival, sometimes it means we cannot put the tent up at all.
Flag anything buried too: irrigation, pool plumbing, electrical runs, a septic tank. We drive pegs up to half a metre into the ground.
Access
We arrive with a vehicle and a trailer. We need to get within a reasonable carrying distance of where the tent will stand, and through any gate on the way. A 3m gate and a long carry across a lawn is fine; a narrow side passage and a flight of steps is a different job and we need to know first.
Space
A tent needs more ground than its stated size. Guy lines on a stretch tent run outward at an angle, so allow roughly 2m of clearance beyond the fabric on every side. A 12m × 15m stretch tent wants closer to 16m × 19m of clear ground.
Timing
Anything substantial goes up the day before. A venue that only opens on the morning of the event needs to be flagged early — it changes what is possible and occasionally rules a structure out.
Power
Not needed for the tent itself. It is needed for lighting, and if you are adding festoons or uplighting we need to know where the nearest supply is.
Wind is the real Cape variable. An exposed site — Blouberg, the Atlantic seaboard, anywhere the south-easter funnels — needs flagging. Exposure changes how we pitch and anchor, and occasionally which structure we recommend. It is a planning question, not a gamble on the day.
What we bring
- The structure, and the crew to erect it
- All anchoring — pegs, ropes, ballast as the surface requires
- Any furniture, flooring, lighting and decor on the booking
- A return visit to strike and collect
What we don't do
We are the structure and the equipment. We do not supply catering, staff, bar service or a sound system — your venue or caterer handles those, and they will expect to.
What this looks like where you are
Ground, access and exposure are not uniform across the Cape, and three areas differ enough from the metro norm to be worth reading before you enquire: paved gardens and estate gates in the Northern Suburbs, buried irrigation and farm tracks in the Winelands, and sand plus the Sir Lowry’s Pass wind in the Helderberg.
